1. Overview

The Advanced CMMS Management module (Gestion GMAO Avancée) transforms Dolibarr into a professional-grade Computerized Maintenance Management System. It enables industrial companies, service providers, public bodies, hospitals and facility managers to centralise all of their maintenance activities without relying on any external software.

Built entirely on Dolibarr standards, the module respects the native architecture, permission system, menu system, multi-company / multi-entity model, multi-currency and multi-language capabilities. It ships with 17 business objects, a modern industrial dashboard, a decisional reporting suite and a realistic demonstration dataset.

2. Modern dashboard

The dashboard provides global, real-time steering of maintenance activity with an industrial design charter (industrial blue, steel grey, maintenance green, alert orange, critical red). It is completely distinct from the standard Dolibarr dashboard.

·       Assets & Performance zone: equipment count, critical equipment, availability rate, open work orders, preventive due, backlog, MTBF, MTTR, maintenance cost and total assets value.

·       Work Orders by status: Kanban view across the full lifecycle with cumulative cost per column.

·       Analytics: 12-month work-order evolution, breakdown by maintenance type, cost by equipment and load by technician.

 

3. Business object model

The module is organised around 17 inter-linked business objects, each with its own list and card interface, generated on a proven object engine and gated by the module's permission groups.

 

 

4. Equipment & asset management

Each asset carries an exhaustive datasheet: reference, designation, family, category, type, manufacturer, model, serial number, internal code, QR code, barcode, RFID tag, acquisition and commissioning dates, purchase and current value, criticality, priority, availability, hour / kilometre / cycle / energy counters, responsible user and supplier.

Unlimited asset tree

Every equipment can have a parent asset and multiple children, components and accessories, enabling a full Site → Building → Workshop → Line → Machine → Sub-assembly → Component breakdown.

 

5. Maintenance types & workflows

Preventive & predictive maintenance

·       Automatic plans: daily, weekly, monthly, quarterly, biannual, annual, or triggered by counters (hours, kilometres, cycles, consumption).

·       Predictive engine: sensor monitoring, anomaly detection, health index, risk score and trend calculation.

Corrective maintenance workflow

Declaration → Qualification → Validation → Assignment → Intervention → Control → Closure

Requests (breakdown, incident, urgency, improvement) are qualified, validated, converted into work orders, executed and closed, ensuring a complete audit trail.

6. Resources: technicians, parts, tools, contracts

Technicians & teams

Complete technician datasheet: skills, specialty, certifications, authorizations, availability, hourly cost, and performance indicators (number of interventions, success rate, average time). Teams manage leaders, members and on-call shifts.

Spare parts & stock

Spare parts and consumables are managed with a direct link to Dolibarr stock: category, type, warehouse, supplier, manufacturer reference, quantities, alert thresholds, unit prices and storage location, with low-stock alerts.

Special tools & measuring devices

Special tools and measuring instruments are tracked with type, location, holder, status and calibration dates, with alerts for upcoming calibrations.

Contracts, warranties & suppliers

Maintenance and subcontracting contracts (provider, type, dates, amount, SLA, response time, renewal), equipment warranties with expiry alerts, and a directory of suppliers and subcontractors linked to Dolibarr third parties.

 

7. KPIs & reporting

The module automatically computes the core maintenance KPIs and exposes a decisional reporting suite. Every report is exportable to CSV and printable.

 

Reports include: work orders, equipment, technicians, costs, preventive compliance and contracts.

Native Dolibarr integration

The module integrates with the native modules: Third parties, Contacts, Products, Stock, Warehouses, Projects and Users. Equipment, spare parts, contracts and suppliers link directly to their native Dolibarr records, ensuring full traceability across quotes, orders, purchases, invoices, projects and stock movements.

Configuration & demonstration data

·       Configuration: default currency, low-stock threshold, preventive horizon and notifications.

·       "Install demonstration data" button: generates a realistic dataset (sites, equipment, work orders, technicians, spare parts, contracts, suppliers, interventions, documents…).

·       "Remove demonstration data" button: deletes only the demonstration data, leaving real user data untouched.

Internationalisation

The module is fully translated into French, English, Spanish, Italian and German using Dolibarr's native translation system.
