Discover powerful Dolibarr extensions designed to automate your business processes

Contract Management Enterprise transforms Dolibarr into a full Contract Lifecycle Management (CLM) platform, comparable to leading market solutions such as DocuSign CLM, Icertis, Agiloft, Ironclad, Conga CLM, SAP Ariba Contracts, Oracle Contracts, Coupa Contract Management and Sirion. It enables organisations to create, negotiate, approve, sign, execute, track, renew, audit, archive and analyse all their contracts directly inside Dolibarr, without any external software.
The module is designed for private companies, public administrations, law firms, industrial groups, IT services companies (ESN), SMEs, multinationals and local authorities. It is published by DoliResources (www.doliresources.com).
· Object-oriented, modular, documented and secure architecture following Dolibarr standards.
· 18 business objects covering the whole contract lifecycle.
· Fine-grained rights across 8 permission groups, MultiCompany / MultiEntity, MultiCurrency and MultiLanguage (French, English, Spanish, Italian, German).
· Next-generation dashboard, decisional reporting and CSV export.
· Compatible with PHP 8.x and MySQL/MariaDB; native integration with Dolibarr core modules.
· First-activation demonstration dataset generator (install / remove).
The module is built on a generic object engine. Each object provides a list view (filters, multi-column search, column selector), a card view (KPI cockpit + related lines) and is gated by a dedicated permission group. The 18 objects are:
· Contract (central hub) — number, object, type, category, nature, customer, supplier, manager, project, amount, currency, payment terms, status, priority, confidentiality, dates (start, end, signature, effective, renewal), SLA, guarantees, penalties, auto-renewal.
· Obligation (contract lines) — deliverables, milestones, payments, reporting, guarantees, responsible party, due date, penalty, status.
· Contract request — subject, requester, department, type, third party, desired date, priority, estimated amount, justification, status.
· Template — reusable contract templates with type, category, language, version, variables and body.
· Clause — clause library (confidentiality, GDPR, liability, termination, renewal, penalty, IP, payment, SLA, force majeure, non-compete, warranty) with versioning and risk level.
· Party & Contact — contracting parties and signatories linked to native third parties.
· Version — contract version history with change summary and status.
· Amendment — contract amendments with type, reason, financial impact and status.
· Negotiation — negotiation rounds with counterpart, status and outcome.
· Approval — approval circuit (simple, double, hierarchical, parallel, conditional).
· Signature — electronic signature records (method, status, timestamps, IP, certificate).
· Deadline — key dates with reminder days and status.
· Renewal — renewals and terminations (tacit or negotiated).
· Risk — risk assessment (probability, impact, score, mitigation, status, owner).
· Alert — intelligent alerts with severity and status.
· Document — document management (PDF, Word, annexes, specifications...).
· Audit log — full audit trail (action, user, date, detail, IP).
A dedicated top menu "Contracts" exposes the following left-menu sections, mirrored by an in-page tab bar on every screen:
· Dashboard
· Contracts
· Contract requests
· Contract templates
· Clause library
· Contracting parties
· Contacts
· Versions
· Amendments
· Negotiations
· Approvals
· Signatures
· Obligations
· Deadlines
· Renewals
· Risks
· Alerts
· Documents
· Audit trail
· Reporting
· Setup
The dashboard follows a modern CLM design (navy blue, turquoise, compliance green, deadline orange, risk red, anthracite grey) and is completely distinct from the standard Dolibarr dashboard.
· Portfolio KPIs: total contracts, active contracts, portfolio value, committed amount, contract revenue, contract spend, expiring soon, renewal rate.
· Contract pipeline: Kanban view of statuses (draft, review, negotiation, approval, signed, active, expired, terminated) with counts and amounts.
· Analytics: portfolio evolution, contracts by type, contracts by status, risk map.
· Obligations & deadlines: open/overdue obligations, upcoming deadlines, amendments.
· Risks & workflow: high risks, pending approvals, pending signatures, active alerts.
The contract repository centralises all contracts with filters, multi-column search and a column selector. Advanced contract types are supported: customer, supplier, maintenance, service, commercial, subcontract, purchase, sale, lease, employment, NDA, partnership, framework, insurance, IT, license, service, public and custom contracts.
Each contract card presents a KPI cockpit and the full set of attributes, together with its related obligations, versions, amendments, signatures, documents and audit trail.
The template library standardises drafting with automatic variables and dynamic fields, ready for PDF/Word generation. The clause library manages standard, legal, financial, confidentiality, GDPR, liability, termination, renewal, penalty, intellectual-property and custom clauses, with clause versioning.
The module implements the complete contractual workflow: Request → Drafting → Review → Negotiation → Validation → Approval → Signature → Activation → Tracking → Renewal → Archiving. Each stage is configurable.
The approval circuit supports simple, double, hierarchical, parallel and conditional validation, as well as rejection, return for modification and cancellation.
The signature architecture covers internal signature, scanned handwritten signature, digital-certificate signature, multi-signatory workflows, timestamping, a signature journal and signature verification. It is open to future integration with external e-signature providers through an API.
The obligation engine tracks customer, supplier and internal obligations (deliverables, milestones, deadlines, penalties) with validation and history. Deadlines feed the intelligent alert system, and renewals/terminations are managed with notice dates and decisions.
Risk management scores each contractual risk (probability × impact), with mitigation plan, status, owner and a risk map on the dashboard. Intelligent alerts cover deadlines, renewals, terminations, SLA, obligations, payments, penalties and risks, with automatic escalation.
Documents (PDF, Word, images, annexes, specifications, invoices, quotes, purchase orders, technical documents) are attached to contracts with document versioning. The audit trail records every action (creation, submission, approval, signature, activation) with user, date, detail and IP address, ensuring full traceability and GDPR compliance.
The Reporting module generates reports on contracts, contracts by type, renewals, signatures, risks, obligations and finance. Reports are exportable to CSV and printable, and can be extended to Excel/PDF/Word.
The module integrates with Dolibarr core objects: third parties, contacts, projects, quotes, customer and supplier orders, invoices, payments, agenda and GED (document management). The architecture is designed to create contracts automatically from an accepted quote, a customer/supplier order or a project, to link contracts to invoices and payments, and to trigger actions on native modules from contractual events. It supports MultiCompany / MultiEntity and is ready for REST API and webhook extension.
The data model and architecture are prepared to support AI-assisted capabilities: automatic contract analysis, missing-clause detection, risk detection, inconsistency analysis, clause suggestion, automatic summarisation, contract comparison, intelligent search, information extraction, renewal forecasting and a conversational legal assistant. Automation rules can be triggered by contractual events (expiry, renewal, obligation due, overdue payment).
Security relies on fine-grained rights (8 permission groups: contracts, templates, parties, workflow, obligations, risks, documents, reporting), contract confidentiality levels, a complete audit trail, secure archiving and GDPR traceability. The setup page manages the default currency, renewal notice, deadline alert delay and renewal notifications.
Two mandatory buttons let administrators install a realistic demonstration dataset (contracts, customers, suppliers, clauses, templates, amendments, obligations, deadlines, signatories, approvals, risks, audit logs) and remove it without affecting real user data.
· Copy the contractmanagement folder into Dolibarr htdocs/custom/.
· Go to Home → Setup → Modules and activate "Contract Management Enterprise".
· A realistic demonstration dataset is generated automatically on first activation.
· Configure defaults and demo data from Contract Management → Setup.
