1. Overview

Forum Management transforms Dolibarr into a full-featured platform for organising and running professional events. It drives the entire event life cycle — from prospecting and quoting through to on-site operations and final financial closing — for weddings, seminars, conferences, trade shows, exhibitions, congresses, forums, festivals, sporting and corporate events, product launches, galas and official receptions.

The module adds a dedicated business layer on top of Dolibarr while reusing native features (third parties, quotes, orders, invoices, payments, projects and the agenda). It ships with an executive dashboard, an event CRM with a drag & drop sales pipeline, resource and venue planning, QR-code ticketing and accreditation, sponsor and exhibitor management, marketing automation and a Business-Intelligence reporting hub with PDF / Excel / CSV exports.

2. Executive Dashboard

The dashboard is the module home page and gives management an instant, 360° read on the agency’s activity. It aggregates commercial, event, financial and resource indicators into a single premium cockpit.

·       Key-figure tiles: commercial, event, financial and resource KPIs (revenue, margin, active events, conversion rate, occupancy, collections).

·       Charts: revenue evolution over time and breakdown by event category / type.

·       Pipeline preview: a snapshot of the sales pipeline showing deals by stage and expected value.

·       Operational shortcuts: quick access to upcoming events, pending quotes and alerts requiring attention.

3. Event CRM & Sales Pipeline

A complete event-oriented CRM manages the whole commercial cycle from first contact to signed contract.

3.1 Prospects

Capture and qualify potential clients with full contact details, event interest, budget and source tracking. Prospects convert into clients and events without re-keying data.

3.2 Kanban Pipeline

A drag & drop Kanban board moves each opportunity through the sales stages:

Prospect    Qualification    Quote Sent    Negotiation    Contract Signed    Event Delivered

Each card shows the expected value, client and target date; totals per column give an immediate view of the weighted forecast.

3.3 Clients

A consolidated client view (built on native Dolibarr third parties) lists every account with its events, quotes and revenue history.

4. Event Management

The heart of the module. Every event has a complete record and a real-time margin cockpit.

·       Identity: client, event type, start / end dates, venue and responsible manager.

·       Budgeting: forecast budget vs. actual cost, sell price and computed revenue.

·       Margin cockpit: automatic profit/margin calculation combining linked services, resources and tickets.

·       Status: lifecycle status (draft, confirmed, in progress, delivered, closed, cancelled).

·       Linked items: every service, session, resource, quote and invoice is linked to the event record.

4.1 Calendar

A calendar view displays all events on a timeline for scheduling and conflict detection, integrated with the native Dolibarr agenda.

4.2 Sessions

For multi-session events (congresses, forums, conference programmes) each session is managed individually: title, speaker, room, time slot and capacity — ideal for building an agenda or programme.

4.3 Services (Prestations)

Catalogue and attach event services such as sound, lighting, decoration, entertainment, catering, video, photography, security and transport. Each service line carries its cost price, sell price and automatically computed margin.

5. Exhibitors, Stands & Floor Plan

Dedicated trade-show / forum tooling to manage exhibitors and the exhibition floor.

·       Exhibitors: company records, contacts, contracted surface, options and status.

·       Stands: stand catalogue with number, type, surface, price and assignment to an exhibitor.

·       Stand plan: an interactive floor-plan (stand plan) to visualise and allocate booths across the venue.

6. Sponsors, Partners & Contracts

·       Sponsors: sponsorship levels (e.g. platinum / gold / silver), contribution amounts and deliverables with revenue tracking.

·       Partners: partner directory and relationship management.

·       Contracts: sponsorship and partnership contracts with terms, amounts and signature follow-up.

7. Ticketing, Participants & Badges

A full registration and access-control system for attendees.

·       Ticketing: standard / VIP / premium ticket types with QR codes and access zones.

·       Participants: attendee registration, accreditation and presence / check-in control.

·       Badges: printable badges and accreditations generated with QR / barcodes for on-site scanning.

8. Resources & Planning

Manage every human and material resource required to deliver an event.

Resource

What it manages

Artists

Performers, speakers and artists with fees and availability.

Staff

Internal and freelance staff, roles and assignments.

Locations

Venues and rooms with capacity, rates and availability.

Equipment

Material inventory with stock, availability and maintenance status.

Resources

Generic reusable resources pooled across events.

Logistics

Transport, delivery and on-site logistics operations.

8.1 Assignment Planning

A planning board schedules the allocation of staff, artists, equipment and venues to events, preventing double-booking and giving a clear operational timeline.

9. Quotes & Invoicing

9.1 Event Quotes

Build event quotes with discounts and electronic signature. Quotes are linked to the native Dolibarr quotes / orders / invoices chain so no data is re-entered.

9.2 Invoicing

Manage the full billing schedule — deposits, interim invoices and final balance — with native integration to Dolibarr invoices, payments and bank reconciliation.

10. Event Marketing Automation

Plan and track multi-channel marketing campaigns for each event.

·       Channels: Email, SMS, WhatsApp and social-media campaigns.

·       Tracking: opens, clicks and conversions per campaign to measure ROI.

11. Business-Intelligence Reporting

A dedicated BI hub offers 17 cross-domain reports, each exportable to PDF, Excel and CSV, and directly printable.

12. Native Dolibarr Integration

Forum Management is not a silo: it reuses and enriches core Dolibarr modules rather than duplicating them.

·       Third parties: clients and suppliers are native third parties.

·       Sales documents: event quotes, orders and invoices flow through the standard commercial chain.

·       Finance: deposits, interim and final invoices with native payments and bank reconciliation.

·       Projects & agenda: events map to native projects and the shared agenda / calendar.

·       Multi-tenant: respects Dolibarr multi-entity and multi-company isolation.

·       Triggers: business triggers keep the module’s objects coherent with native records on every write.

13. Administration & Demo Data

·       Permissions: granular per-object read / create / modify / delete rights integrated in the Dolibarr permission system.

·       Configuration: a setup page controls module options and preferences.

·       Demo data: one-click installable and removable demonstration dataset — 100 events, 500 participants, 100 prospects, 50 clients, 50 venues, 200 equipment items, 100 staff members and 50 sponsors — for instant evaluation and training.
