1. Overview

Freeze Management transforms Dolibarr into a complete, industrial-grade ERP dedicated to a professional freezing unit and the cold chain: cold stores, cold chambers, frozen products, thermal traceability, refrigerated logistics, cold-equipment maintenance, energy management, customer storage contracts, HACCP compliance and temperature alerting. It covers the entire business cycle end-to-end, without depending on any external software, while natively reusing and enriching Dolibarr's core objects.

The module is built on a generic, key-driven engine that provides every business object with a searchable list view (with column show/hide), a rich 'hub' record card featuring a KPI cockpit and cross-navigation to linked records, full multi-entity support and granular permissions.

2. Native Dolibarr integration

Every business action is connected to Dolibarr's native objects — there is no data duplication:

·       Third parties (customers / suppliers) — receptions, shipments and contracts are linked to native companies.

·       Products & services — each frozen product is mirrored to a native Dolibarr product for stock and pricing.

·       Stock / warehouses — inbound and outbound flows integrate with Dolibarr stock logic.

·       Customer & supplier orders, quotes and invoices — created natively from shipments and storage contracts (quote / order / invoice), with the created document linked back to the source record.

·       Projects, Agenda, Contracts, Bank and Accounting — reused where enabled.

·       REST API, notifications and e-mails — leveraged through the Dolibarr core.

3. Functional modules

3.1 Cold stores & cold chambers

Multi-site management of refrigerated warehouses and their cold chambers.

·       Cold stores (depots): address, GPS coordinates, manager, capacity in m³ and in pallets, number of chambers, surface area and commissioning date.

·       Cold chambers: target temperature, low/high critical thresholds, real-time current temperature, humidity, storage zone, cooling power (kW), last defrost and next maintenance dates, and operating status (active / defrost / alarm / offline).

·       Fill level tracked in pallets against chamber capacity.

·       Each chamber is a 'hub' record card exposing its temperature readings, stock movements, HACCP controls, maintenance and losses.

3.2 Frozen products

A catalogue of temperature-sensitive products with full cold-chain attributes.

·       Product family: deep-frozen, chilled, ice cream, agri-food, pharmaceutical.

·       Storage temperature, shelf life in days (use-by DLC/DLUO), lot prefix, allergens and origin.

·       Unit, sale price, average cost, VAT rate and current stock (kg).

·       Automatic mirroring to a native Dolibarr product enabling native stock and invoicing.

3.3 Frozen stock & inbound flows

Reception of incoming goods with complete cold-chain traceability.

·       Receptions (inbound flow): supplier, product, destination store and chamber, quantity (kg) and number of pallets.

·       Reception traceability: lot number, freeze date, use-by date (DLC/DLUO) and arrival temperature (cold-chain proof).

·       A reception lifecycle Kanban pipeline: ordered → in transit → delivered to depot → received → invoiced (or cancelled).

·       Reception controls: expected vs received quantity, gap, product temperature and quality verdict.

·       Stock movements: entries, exits and transfers between chambers, with lot and reason.

·       FIFO / FEFO rotation supported through lot and use-by tracking.

3.4 Cold-chain logistics

End-to-end refrigerated distribution.

·       Customer shipments (outbound flow) driven by a distribution Kanban: draft → confirmed → planned → loaded → en route → delivered → invoiced.

·       Delivery notes recording departure and arrival temperature, signature and GPS position.

·       Loading notes with pallets, seal number and temperature.

·       Refrigerated tours: truck, driver, stops, distance and transport cost.

·       Refrigerated truck fleet: plate, type, capacity (m³/pallets), cooling-unit temperature range, mileage, cooling-unit check, insurance and technical-inspection validity, and status.

·       Drivers: licence, cold-chain certification, hire date and status.

3.5 Thermal traceability & compliance

Continuous monitoring of the cold chain and HACCP quality.

·       Temperature readings per chamber and per sensor: temperature, humidity, min/max thresholds and an automatic 'in alert' flag on any threshold breach.

·       Complete thermal history feeding the dashboard and the alerting engine.

·       HACCP quality controls: core and surface temperature, pH, microbiological conformity, analysis type, lab and verdict — linked to product, chamber and lot.

·       Losses & spoilage: cold-chain break, expired use-by, breakage or other causes, with lost quantity (kg), value and lot.

·       Compliance audits (HACCP / hygiene / safety) with severity, non-conformity count, corrective action and status.

3.6 Cold-equipment maintenance

·       Preventive and corrective maintenance of compressors, cooling units, chambers, sensors and trucks.

·       Intervention date, next due date, cost, technician and status (planned / done / overdue).

·       Overdue maintenance is surfaced automatically on the dashboard and by the alert engine.

3.7 Energy management

·       Energy consumption per store and per chamber: kWh, cost, CO₂ emissions and COP (cooling efficiency ratio).

·       Energy meters with previous/current index and consumption.

·       Basis for over-consumption alerts and energy-profitability reporting.

3.8 Storage contracts & invoicing

·       Customer cold-storage contracts priced per pallet, per m³ or per duration.

·       Committed pallets, unit price, start/end dates, automatic renewal and contract status.

·       Native invoicing: quotes, orders and invoices generated directly from shipments and contracts, linked back to the source record.

3.9 Alerts & automation

A daily cron engine (FrzRunAutomations) evaluates the active rules:

·       Critical chamber temperature (out of the min/max range).

·       Product stock rupture.

·       Products approaching their use-by date (DLC/DLUO).

·       Storage contracts to be renewed.

·       Maintenance due or overdue.

·       Open incidents and active temperature alerts.

4. Premium dashboard

A brand-new 'cold-chain cockpit' dashboard, independent of the Dolibarr standard home page, styled with a modern industrial cold-chain palette (night blue, glacier blue, cold white, steel grey, alert red, validation green).

·       'Load demonstration data' button: generates a complete, realistic dataset (cold stores, chambers, frozen products, receptions, shipments, temperature readings, contracts, alerts, maintenance, customers, suppliers, trucks…).

·       'Purge demonstration data' button: safely removes only the data generated by the module (tagged by import key), including the native companies, products and documents created for the demo.

7. Multilingual & security

·       Fully available in French, English, Italian, German and Spanish through Dolibarr's native /langs system.

·       Granular Dolibarr permissions across 11 rights groups (read/write granted by default, delete/administration disabled by default).
