1. Overview

Locksmith Management turns Dolibarr into a genuine trade-specific software package for locksmithing, architectural metalwork, 24/7 emergency call-out, access control and door security companies. It covers the entire operational chain, from the emergency phone call received at three in the morning through to the invoice, including the master key plan, the installed base of cylinders, maintenance contracts and the regulatory traceability of protected keys.

The guiding principle is that a locksmith business should no longer need any software outside Dolibarr. Everything a company does — dispatching, installed base management, key systems, worksites, contracts, workshop production, stock, claims and after-sales — is modelled inside the ERP and linked to the native Dolibarr documents.

Design principles

·       Native first: the module extends Dolibarr rather than duplicating it. Customers are Third parties, estimates are Quotations, works become Orders and Invoices, maintenance agreements attach to Contracts, hardware to Products and Stock, worksites to Projects, and intervention photographs to the Document Management System.

·       Field reality first: response time, SLA compliance, first-visit resolution rate, night and weekend surcharges and call-out fees are first-class data, not afterthoughts.

·       Regulatory traceability: protected keys, ownership certificates, deposits, A2P certification levels and mandatory periodic inspections are tracked as auditable records.

·       Immediate usability: read and write permissions are granted by default on activation, and a complete demonstration dataset can be installed and removed with a single click.


 

2. Business objects

The module ships 24 business objects, each with a filtered and sortable list view, a detail card, a column selector and granular permissions.

2.1 Operations

2.2 Installed base and security

The pivot of the installed base: building type, address, service zone, on-site contact, access code, number of openings, criticality and distance from the depot.

Door type, location, material, opening side, dimensions, fire rating and condition.

Locks and cylinders

Brand, model, lock type, number of locking points, cylinder type and length, axis spacing, A2P certification level, installation date, warranty end and condition.

Access control

Keypads, badge readers, intercoms, video entry systems and controllers, with protocol, number of badges, managed users and commissioning date.

Automatic doors

Gates, garage doors and pedestrian doors with drive unit, cycle count, statutory inspection interval, last and next inspection dates.

Safes

Brand, model, EN 1143-1 resistance class, locking type, weight, volume, insurable value, anchoring and last combination change.

 

2.3 Key systems

Master key systems per customer and site: brand, system type, patented status and patent expiry, number of cylinders, keys issued, hierarchy levels, protection level and the access matrix describing which key opens which cylinder.

Keys and badges

Key number, engraving, pass level (grand master, master, service, individual), number of copies, state (in stock, in circulation, returned, lost, stolen, disabled) and ownership certificate number.

Key handovers

The traceability register: holder, holder role, handover date, return due and actual return dates, deposit amount and whether it has been refunded.

 

2.4 Worksites and workshop

New build, refurbishment, compliance upgrade and security hardening projects, with project owner, dates, progress, amount sold, material and labour cost, computed margin and handover reservations.

Metalwork items

2.5 Contracts and preventive maintenance

Preventive visits

Planned and completed visits with assigned technician, points checked, anomalies found, duration and findings. Any visit planned in the past and not completed is flagged as overdue.

Alerts

Centralised alerts by family (keys, contracts, stock, certifications, maintenance, warranties) with severity, due date and assignee.

 


 

3. The “Steel and Brass” dashboard

The dashboard deliberately departs from the classic Dolibarr layout. Its visual identity is drawn from the locksmith trade itself: an anthracite and brushed-steel palette highlighted with brass gold, and an emergency red reserved for on-call actions.

The configuration page offers two buttons. “Install demonstration data” creates a complete, realistic and internally consistent business dataset: customers, sites, openings, locks, key plans, keys, handovers, service calls, on-call rosters, worksites, metalwork, access control devices, automatic doors, safes, contracts, preventive visits, technicians, vehicles, hardware, suppliers, services, claims, after-sales cases and alerts, together with native Dolibarr quotations, invoices and projects.

The dataset is deliberately shaped so that the dashboard is meaningful from the first second: rows are forced into the current day and the current month so no headline indicator ever reads zero, response times are drawn so SLA compliance lands in a credible band rather than at zero or one hundred percent, and a small number of deliberately problematic records (an expired certification, unreturned keys, overdue preventive visits, items below stock threshold) make the alert banner genuinely informative.

“Clear demonstration data” removes the dataset in full, including the native Dolibarr documents created by the seeder and any child records the user may have added under a demonstration parent, without ever touching real business data. The dataset is versioned, so an improved dataset is re-seeded automatically on module upgrade.
