1. Overview

Transport Management Pro turns Dolibarr into a genuine Transport Management System (TMS) dedicated to road freight and merchandise transport. It equips carriers, freight forwarders, charterers and own-account fleets with everything required to run the full transport cycle — from a customer transport request through tour planning, execution, tracking and proof of delivery, all the way to invoicing — without needing any external software.

The module is fully integrated with native Dolibarr: it reuses third parties, products and projects, and it creates real Dolibarr quotes, orders and invoices from a transport order. It ships with a purpose-built "Control Tower" dashboard, a complete reporting suite, an automation engine, a first-activation demonstration dataset, and a professional navy/amber logistics visual identity. The module is multi-entity, multi-company and SaaS-ready.

2. Control-Tower Dashboard

The home page is a modern operations cockpit designed specifically for transport, using a navy / amber / asphalt colour scheme that sets it apart from standard Dolibarr dashboards. It gives dispatchers and managers a real-time, single-screen view of the whole operation.

3. Core Operations — Transport Orders

Transport orders / shipments

The transport order is the central object of the module. It captures the ordering customer, shipper and consignee, pickup and delivery addresses and towns, pickup/delivery dates, transport type (parcel, full load, groupage, charter, express), incoterm, nature of goods, weight, volume, number of packages and pallets, declared value, distance, sale price, buy price and the on-time flag.

·       Order-lifecycle pipeline — draft → confirmed → planned → in transit → delivered → closed → cancelled.

·       Kanban pipeline — a drag-and-drop Kanban board lets you move orders between stages; each column shows the order count and total value.

·       Assignments — every order can be linked to a vehicle, a driver, a subcontractor and a Dolibarr project.

Shipment tracking & proof of delivery

·       Tracking events — timestamped events (pickup, in transit, delivery, incident) with location and comment, attached to each order.

·       Proof of Delivery (POD) — records delivery date, receiver name, signature status and reserves for delivered orders.

4. Planning, Fleet & Drivers

Tour planning

·       Tours — assign a vehicle, trailer and driver, define start/end towns, planned kilometres, number of stops, fill rate and total weight.

·       Operations planning — a chronological timeline (from 7 days ago to 60 days ahead) merges tours, maintenance due, order pickups and deliveries into a single operational planning view.

Fleet management

·       Vehicles — type, registration, brand/model, GVWR, capacity (kg/m3), fuel type, odometer, acquisition value, plus insurance and technical-inspection expiry with dashboard alerts.

·       Trailers — type, registration, capacity, volume, axles and technical-inspection expiry.

·       Maintenance — preventive and corrective operations, maintenance type, dates, next-due date, cost, garage and odometer.

·       Fuel — per-vehicle fuel logs with litres, unit price, total cost, odometer and station, feeding the fuel-cost KPIs and reports.

Drivers

Driver records hold identity, contact details, an optional link to a Dolibarr user, licence categories, ADR certificate, and — critically — licence and FIMO/CPC expiry dates and hire date. Upcoming expiries surface automatically on the dashboard and in the drivers report.

5. Charter, Subcontracting & Pricing

Charter & subcontracting

·       Subcontractors — carrier partners linked to Dolibarr suppliers, with served zones, vehicle types, contact and rating.

·       Charters — links a transport order to a subcontractor with buy price, sale price, computed margin and confirmation date, giving full control over outsourced-operation profitability.

Pricing & quotation

·       Tariff grids — per customer or zone, with pricing mode (per km, per weight, per zone, flat, per pallet), base price, price per km/kg, minimum charge and a fuel surcharge percentage.

·       Transport quotations — capture origin, destination, weight, volume, distance and amount; a quotation can generate a native Dolibarr quote.

6. Goods, Incidents & Claims

·       Goods catalogue — a catalogue of goods types with category, ADR class, temperature requirement, hazardous flag and unit — supporting dangerous-goods (ADR) and temperature-controlled transport.

·       Incidents & claims — log damage, delay, shortage or breakage against an order, with severity, date, claim amount and resolution status; open incidents and claim totals feed the dashboard and the incidents report.

·       Activity log — a chronological activity journal (calls, emails, follow-ups, notes, checks) attached to orders.

7. Native Dolibarr Integration

Transport Management Pro is designed to enrich Dolibarr, not to work in isolation. It links directly to the standard modules so accounting, sales and CRM stay consistent.

From the dedicated Invoicing screen, each transport order shows its linked documents and offers one-click "Make quote / Make order / Make invoice" actions; the created native document id is stored back on the order for full traceability.

A dedicated Reporting menu produces actionable operational and financial statements. Every report supports an optional date filter and can be exported to CSV, Excel and PDF (with a branded navy print header).

9. Automation Engine

The module includes a workflow/automation engine that can run daily through the Dolibarr cron scheduler or on demand from the Automations console. It evaluates active rules and applies safe built-in actions and alert metrics.

·       Expiring documents — vehicles with insurance or technical inspection expiring within 30 days.

·       Expiring licences — drivers with licence or FIMO/CPC expiring within 60 days.

·       Maintenance due — vehicle maintenance due within 15 days.

·       Late deliveries — orders past their planned delivery date and not yet delivered.

·       Open incidents — unresolved incidents and claims.

·       Close delivered — automatically closes delivered transport orders.

10. Configuration & Demonstration Data

·       Fuel surcharge — default fuel surcharge percentage.

Demonstration dataset

The setup page offers a one-click "Load demonstration data" button that populates the module with a realistic, coherent dataset (80 transport orders across all stages, 20 vehicles, 12 trailers, 18 drivers, 40 tours, 12 subcontractors, tariffs, quotes, 100 fuel logs, 40 maintenance records, tracking events, proofs of delivery, incidents and automation rules, plus native customers, suppliers, service products and draft quotes/invoices). A companion "Purge demonstration data" button cleanly removes only the generated demo data — including the native objects it created — leaving real data untouched. The generator is idempotent and safe to re-run.

11. Security, Permissions & Technical Notes

·       Permissions — 9 granular permission groups (orders, fleet, drivers, tours, subcontracting, pricing, goods, automation, reporting) with read / write / delete rights, plus a module administration right.

·       Multi-entity — multi-entity and multi-company aware; every list and statistic is entity-scoped.

·       Security — CSRF token protection on create/edit actions; standard Dolibarr access control on every page.

·       Compatibility — Dolibarr v16 → v23+, PHP 8; depends on the native Third Parties and Products modules.

·       Languages — English, French, Italian, German and Spanish, fully translated (no missing keys).
