Every analysis request follows a single, fully traced lifecycle. The dashboard workflow board shows the live count and value of each stage.

Stage

Description

New request

The request is registered with clinical information and suspected diagnosis

Sampling

The sample is collected and its collection conditions are recorded

Received at laboratory

The sample is received, labelled with a barcode and quality-checked

Analysis in progress

The analyses are executed on the assigned analysers

Results validated

Results are entered, flagged against reference ranges and validated

Report delivered

The signed report is produced and sent to the prescriber

Invoiced

The request is invoiced to the owner, practice, insurer or third-party payer

Archived

The complete file is archived for regulatory retention

4. Analysis families

The analysis catalogue is fully configurable and covers every discipline of veterinary biology. Each analysis carries its own technique, sample type, price, cost price, contractual turnaround time and accreditation flag.

Family

Typical analyses

Haematology

5. Quality management

The module embeds a complete quality system aligned with the requirements of veterinary laboratory accreditation.

·       Internal and external quality controls by level, with target value, measured value, tolerance, deviation and coefficient of variation

·       Automatic conformity rate computed on graded controls only, so the indicator cannot be diluted by controls that were never assessed

·       Non-conformities typed as pre-analytical, analytical, equipment, reagent, turnaround, documentary or human error, and graded minor, major or critical

·       Corrective, preventive, immediate and improvement actions with owner, due date and efficiency verification

·       Controlled documentation: manual, policy, procedures, operating methods, work instructions, forms and quality records, each with version index and review date

6. Reporting and business intelligence

Twelve decisional reports are available, each exportable to CSV, Excel and PDF.

Report

Content

Activity

Requests, analyses, average turnaround and revenue per month over 12 months

Analyses by family

Volume, revenue, margin and margin rate per analysis family

By veterinarian

Requests, analyses and revenue per prescribing veterinarian

By species

Animals, requests and revenue per species

By breed

Animals and requests per breed

By owner

Animals, requests and total invoiced per owner

Revenue

Invoice count, net and gross amounts and unpaid count per month

Reagents

Stock level against minimum stock and number of lots

Stock

Lot-level remaining quantity, expiry date and status

Maintenance

Interventions and cost per equipment, with next calibration

Quality

Controls, conformity rate, non-conformities and corrective actions per month

Turnaround

Contractual versus actual turnaround and on-time rate per family

The business intelligence screen projects the next three months of workload by linear regression over the last six months, derives the expected reagent consumption and a costed purchase forecast, and reports stock coverage, cost analysis and decision indicators.

Margin figures are computed only over analyses that actually carry a cost price. A missing cost is treated as unknown rather than zero, which prevents the reported margin from drifting towards an unrealistic 100 percent.

10. Demonstration data

The configuration page provides two buttons. “Install demonstration data” generates a complete, realistic dataset spread over twelve months: owners, animals, veterinarians, clinics, insurers, requests, samplings, samples, the analysis catalogue with its parameters, performed analyses, results, reports, invoices, reagents and lots, equipment and maintenance, quality controls, non-conformities, corrective actions and quality documents.

“Remove demonstration data” deletes only the records produced by this generator. The purge also cascades to records a user created underneath a demonstration parent, so no row is left orphaned on a dead foreign key. Real laboratory data is never affected.
